Position Description

We are seeking a proactive self-starter to join our operations team at either the Coordinator or Manager level, depending on experience. Reporting to the COO, this role is essential to the effective and efficient functioning of the organization—overseeing daily office operations, supporting HR administration, and partnering with the Building Manager on facilities initiatives.

The Operations Coordinator/Manager advances our mission by driving improvements, fostering a welcoming and productive workplace, and maintaining a responsive, well-coordinated environment that enables staff to do their best work. The ideal candidate is a creative problem-solver with excellent organizational and interpersonal skills, who thrives in a fast-paced, creative setting and enjoys managing multiple projects simultaneously.

Pioneer Works operates on a hybrid schedule, requiring all full-time employees to work on-site at our Red Hook building a minimum of three days per week. Due to the on-site nature of this role, additional in-office days may be required.

Key Responsibilities

Office Operations

  • Oversee day-to-day office operations to ensure a smooth, efficient, and well-organized workplace.
  • Manage office systems, supplies, equipment procurement, and vendor relationships; resolve issues as they arise.
  • Solicit proposals from service providers and process invoices.
  • Serve as a welcoming resource for staff administrative and office needs.
  • Develop and document operational procedures to improve efficiency.
  • Provide logistical and scheduling support as needed.

HR Administrative Support

  • Assist the COO with recruitment, hiring, and related communications.
  • Draft offer letters, contractor agreements, and contracts based on existing templates.
  • Manage employee onboarding and offboarding, ensuring tasks are tracked and completed for a smooth process.
  • Maintain employee records and HR files.
  • Support a positive team culture aligned with organizational values.

Facilities Project Oversight

  • Manage facilities maintenance, repair, and improvement projects in partnership with the building manager; ensure deadlines are met and documentation is maintained.
  • Track and report on project status, responding to shifting priorities
  • Communicate proactively with COO and building manager to anticipate and troubleshoot issues.

Safety & Compliance

  • Track and manage regular building inspections and reporting to ensure compliance.
  • Maintain and update policies and documentation to support a safe, efficient work environment (including safety trainings, emergency drills, staff certifications, etc.).

Qualifications

  • Bachelor’s degree or equivalent experience
  • 3+ years of experience in arts/office/facilities management, nonprofit or startup operations, project management or HR administration
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent written and verbal communication
  • Proven ability to proactively manage projects and tasks through to completion
  • Proficient with Google Workspace and project management tools (e.g., Monday.com); familiarity with HR platforms (e.g., Justworks) a plus
  • Adaptable, collaborative, and motivated to support a mission-driven organization

Compensation

Compensation commensurate with experience. Salary range of $60,000-$75,000/year, with competitive benefits package including health and dental insurance, 401K with company match up to 3%, and flexible/unlimited PTO.
